Organize the records that connect purchasing, installation, training and ongoing support for a JLT platform.
Use the folder as an index, not a dumping ground
An equipment handover folder should make essential information easy to locate. Start with the exact model, supplied configuration and responsible contacts. Link the purchase order and final quotation to the device record so later staff can understand what was actually supplied.
Group documents by purpose
Keep operating instructions separate from commercial terms and service records. Include installation and training information where provided, together with the relevant accessory documentation. Use document titles and revisions that remain recognizable outside the original purchasing team.
Record unresolved questions explicitly
If a document is awaiting confirmation, label it that way rather than placing it among approved references. Assign an owner to obtain the missing information. This prevents a provisional brochure or an old email attachment from becoming the organization’s assumed source of truth.
Keep the folder current
Update the index after authorized service, approved configuration changes or revised instructions. Preserve earlier versions according to the organization’s document-control process. The folder should support the equipment lifecycle without containing unnecessary patient information. Its value lies in traceability: the right document, for the right device, available to the right person.
